The position of Administrative Officer is under the direct supervision of the Principal of AITIS. The Administrative Officer will work for the benefit of the children of the AITIS.
The AITIS working hours are from 7:30 A.M. to 4:30 P.M. Administrative Officer is not expected to take leave during the school time. Administrative Officer is expected to observe a decent dress code.
Administrative Officerwill provide all administrative and staff support to the general organizational operations of the AITIS.
Administrative Officer’s duties may include, but are not limited, to:
School budget monitoring
- Assisting the Principal in preparing and revising the school annual budget, and following and keeping files of the school’s financial records
- Preparing school fee invoices for parent, following up the payments, liaising the late-payments with the Finance office and the parents, and keeping up-to-date files of the payments
- Preparing purchasing orders for equipment, furniture, and office supplies for the school as necessary and/or directed by the Principal
- Maintain and account for all student activity funds and money collected from student.
- Settle Petty Cash for the Pre-School and Elementary School Coordinators
- Settle school financial statements
School office administration
- Maintaining up-to-date class and student lists and database including class sizes, nationalities, medical records, children who receive Special Education and/or ESL teaching
- Maintaining files of all children in AITIS including admission papers, placement tests and children Progress Reports and Report Cards
- Prepare relevant certificates for students
- Preparing the staff work contracts
- Preparing work orders and transportation requests
- Submitting staff leave forms to the HRO
- Liaising with other AIT departments and offices as necessary and/or as directed by the Principal
Other responsibilities
- Answering main office telephone system, responding to direct requests for information and/or forwarding messages to appropriate staff
- Filing all official documents and maintaining a well functioning filing system
- Receive and distribute all incoming mailing and coordinates outgoing mail
- Keeping available for the staff and for the parents all official forms
- Supervising Office Attendant
- Carrying out additional, related activities as directed by the Principal
Qualifications
- Minimum one year office administrative support experience preferred
- Bachelor degree (Accountancy, Administration preferred)
- Excellent computer skills in a Microsoft Windows environment. Must include Excel, ERP system and skills in database management and record keeping
- Fluent spoken and written English
- Excellent organizational and file management skills
- Able to take responsibility and work independently
- Good interpersonal skills
- Fluent spoken and written Thai
