Applications are invited from the interested applicants for the position of Office Assistant at the Regional Resource Center for Asia and the Pacific (RRC.AP). I. Major Functions: An Office Assistant is responsible for providing various clerical support and assists associates in ways that optimize procedures. The Office Assistant is expected to work with or without the supervision of the administrative and management team. He must be a team player and disciplined person with trusting relationship toward colleagues and associates, maintaining a high level of discretion and confidentiality. II. Duties and Responsibilities: The Office Assistant is to ensure the efficient delivery of the following tasks: |
Admin |
Clerical |
Provide clerical support including photocopying, document scanning, sorting and distribution of incoming mails, document process for visa and clearance requirements, etc. |

Mails/Parcels |
Take and deliver documents, parcels, and messages from/to places indicated by administrative staff. |
|
Archiving |
Ensure that the information and files and archiving system is accurate and up to date. |
|
Office Premise |
Assist in the daily operation and maintenance of office premise, such as organization, arrangement, cleanliness, etc. |
|
Equipment and Supply |
Monitor office machines and supplies and report out-of-order and/or shortage thereof. Coordinating with suppliers and assist in sending computers, and peripherals to repair. |
|
Reception |
Perform receptionist duties including meet and greet visitors, meeting room arrangements, refreshments, equipment, cleanliness, etc. |
|
Social Activities |
Assist in social activities and coffee corner arrangements. |
Finance |
|
Assist in financial activities including cash cheque, settle payments, document archives, and perform duties as assigned. |
IT |
|
Assist IT support group in the arrangement of equipment and supplies. |
Program |
|
Assist the administrative staff in the logistical arrangement and support to project activities. |
Others |
|
Perform ad hoc duties as assigned. |
III. Required Qualifications and Experience:
- A minimum of 0-1 years of experiences in secretary and administrative fields;
- Bachelor's degree from Business Administration, Arts, English, Secretarial or related fields;
- Self-initiative and detail-minded; Good in problem solving, interpersonal and communication skills;
- Experience working in a multi-disciplinary and multi-cultural environment is preferred;
- Good in both written and verbal communication in English;
- Good in computer skills, including Microsoft Office (especially Outlook);
- Experience in working collaboratively with team;
- Able to work outside normal working hour;
- Thai Nationality and Immediate availability is highly preferred.
