Qualification:

Administrative Duties:

  • Office Administration, oversee daily administrative operations.
  • Training Management
  • Human Resources Management
  • Operation Management

Training Duties:

  • Assess training needs and coordinate with resource persons and course coordinators.
  • Facilitate and assist in conducting training sessions, workshops, and seminars.
  • Provide administrative and logistics support for preparing and implementing training courses, including:
  • Registration, training materials printing, participant list, Participant ID cards, medical clinic  memorandum, group photo, opening & closing ceremony, certificate printing and evaluation consolidation
  • Communicate with donors, clients, resource persons, and participants to coordinate the preliminary setup of training.
  • Arrange and confirm the course schedule.
  • Support the preparation and implementation of training courses.
  • Assist the Course Coordinator in facilitating day-to-day activities during training sessions and study visits as required.
  • Prepare domestic travel requests and settlements for the Course Director and Course Coordinator.
  • Coordinate with the travel agency for participants' travel insurance issuance and ticket booking during field trips and study visits.
  • Evaluate the effectiveness of training programs and make necessary improvements.

Key Roles of HR Management:

Recruitment, Hiring, and Exit Management:

  • Identify staffing needs.
  • Advertise job openings.
  • Cooperate with the main HR department of the institute for screening, interviewing, and selecting candidates.
  • Handle resignations and terminations.

Employee Relations:

  • Address employee concerns and grievances.
  • Foster a positive work environment.
  • Mediate conflicts and facilitate resolutions.

Team Leadership:

  • Lead and mentor staff.
  • Foster a positive and productive work environment.
  • Provide guidance and support to team members.

Communication and Coordination:

  • Ensure smooth communication within the organization.

Qualifications:

  • Experience:
  • At least 10 years of experience in administrative roles, with a focus on training and development.
  • Skills:
  • Excellent organizational and multitasking abilities.
  • Strong leadership and team management skills.
  • Proficiency in office software (e.g., MS Office), Canva, and Google Tools.
  • Effective communication and interpersonal skills.
  • Service mindset, and problem-solving abilities.
