PROGRAM COORDINATOR (PC)
Project Description: Asian Institute of Technology was recently awarded by Gates Foundation a 2-year research and capacity development project. While the Research and Training Program focus is on aquaculture development in Nigeria, the farmer training and mentoring are to be conducted in both Thailand and Nigeria. Position Summary: The Program Coordinator (PC) will be responsible for the overall maintenance of a well-organized professional working environment. PC should have the skills to maintain a properly functioning research and training communication system. He/she will work closely with the project team to ensure acquisition of materials and equipment to support ongoing project operations, both in Thailand and Nigeria. PC is also responsible for facilitating the training and mentoring programs of the project in Thailand. This is a full-time position based in AIT, Thailand with some overseas visits, if necessary. The PC is a fully competent professional contributor who can work independently with a little supervision and applies his/her management skills to assist the project management team and subject specialists to complete the project assignments. PC is also responsible for developing and managing an in-house information management and communication platform for smooth operation of the project. PC should be fluent in both Thai and English. Experience in working with international projects is an added advantage. |
Responsibilities:
- Manage project office, finances, and material acquisitions following AIT policies and procedures.
- Manage project schedules, staff travel arrangements, and project deliverables.
- Establish and maintain record-keeping systems in compliance with project methodology. Maintains accurate documentation for expenses and receipts for payments.
- Establish internal reporting systems and serves as primary point of direct contact and liaison with project staff, external vendors, suppliers, and selected Thai farmers.
- Establish monitoring and tracking systems for project budget, expenditures, approvals, inventory, and project deliverables.
- Coordinate with international research and administrative staff and manages administration issues of project employees.
- Coordinate with IT support to ensure that computer equipment is operational including Internet access, email, electronic filing and retrieval system, etc.
- Administer a digital repository of standardized training materials for the talent development component of the project.
- Maintain office security by following agreed data/ information safety protocols.
- Maintain the project websites, update web content including regular blogs on project progress, and gather user feedback. Develop and edit video and screencasts and assist in embedding into websites.
- Manage the social media and web communications (via Twitter, Facebook, Instagram, Google, and other relevant media outlets).
- Coordinate and facilitate regular aquaculture training/ mentoring programs and conduct orientation programs (to AIT/ Thailand) for visiting trainees from Nigeria.
- Work with internal and external resource persons to identify aquaculture farms of excellence in Thailand who are willing to participate in farmer-to-farmer mentoring programs.
- Any other task assigned by the Project Management Team.
Qualifications:
- A master’s degree in the relevant fields.
- A minimum of 3 years of experience in administrative and communication fields.
- Spoken and written fluency in English and Thai is essential.
- Demonstrated knowledge and skills in office administrative procedures.
- Excellent time management skills.
- Prior experience working on research or business management projects is highly desirable.
- Strong interpersonal skills and the ability to work effectively with diverse nationalities.
- Self-motivated, detail-oriented, well-organized, and comfortable in a highly dynamic office environment.
- Proven computer skills, and familiarity with Windows, the Microsoft Office suite, databases, social media, etc. Skills in Microsoft Project Management is an added advantage.
Duration: The appointment will be for 2 years, with a 3-month probation period. Location: Aquaculture and Aquatic Resources Management Program, Asian Institute of Technology, Klong Luang, Pathum Thani 12120 Thailand.
