Brief Description: Serve as the key secretarial and administrative support for the Dean’s Office. Responsible for the management, administration and delivery of Dean’s office services in order to ensure that they are accomplished in an effective and efficient manner following the AIT’s policy and procedural guidelines. Work closely with the Dean, Heads, Chairs, Office of the Dean’s staff, school staff members and other units. |
Key Responsibilities:
- Provide secretarial assistance and administrative support to the Dean’s Office, report directly to the Dean. Coordinate, interprets and communicates operating and administrative policies, dealing with administrative problems and inquiries, as appropriate. Serves as a primary point of contact, rendering assistance to the faculty, staff, students, visitors and guests.
- Organizes and facilitates meetings and special events; schedules and coordinates dates and times, venues, attendance, agendas, and facilities; able to take minutes, and provides administrative support and follow up on matters arising from meetings.
- Perform and oversee all administrative, secretarial and clerical duties in the school/office. Perform incoming and out-going correspondence/follow up and other routine work as needed. Composes and prepares written documentation and correspondence for the office; screens and evaluates incoming and outgoing correspondence and prepares responses as appropriate.
- Responsible for routing of Dean’s office documents and maintaining office files/records and databases, google drive/one drive as appropriate.
- Schedules and coordinates Dean’s appointments and/or travel arrangements, facilitate the travel arrangements of the Dean and Dean’s office staff following the requirements of AIT.
- Responsible for facilitating purchase of school and lab equipment; replenishment of office supplies including reimbursements, promissory note, travel arrangements and calendar management (meetings, travel).
- Coordinates and oversees the day-to-day management of supplies, equipment, and facilities for the organization, as appropriate, to include maintenance, inventory management, logistics, security, and related activities.
- Assist in disseminating and coordinating special events, conferences, workshops and seminars. Facilitate, assist, give advice to faculty and staff under the school.
- Assist in school promotion and marketing initiatives, faculty and staff development, budget dissemination and follow up, takes care of office budget upload/revision and reimbursement, compilation of faculty recruitment applications and appointments under the school.
- Coordinate the student application process, manage the scholarships allocation, compile the scholarship candidates under school, familiar with the AIT SIS system in compiling applications and confirmations data weekly.
- Work closely with the Admissions and Registry unit and make frequent contact with other units such as Purchasing, Finance and HR to ensure the needs of the school.
- Ensure all duties and responsibilities of school are smoothly run without constraint.
- Carry out related duties as assigned or as deemed essential for the school and office of the Dean.
Qualifications
- Bachelor’s degree or higher in business administration major in Management/Finance/Accounting/other related fields.
- A minimum of 5 years of progressively responsible work experiences in schools, public agencies, or private businesses.
- Demonstrate evidence of time management skills and the ability to prioritize tasks.
- Demonstrate good communication (Thai and English) and listening skills, good writing skills, decision-making skills.
- Demonstrate ability to work independently and with diverse groups of people.
- Cooperative, willing to help, approachable, reliable, effective and efficient.
- Experience with standard computer applications (MS Office, Google drive/calendar, Excel, Canva, Digisigner, etc.), and use of general office equipment.
